October 2017

10/16/17 Sitzmark Board meeting minutes by Sally Hed Dahlquist Started at 715pm at Davanni’s in Edina. Attendees are: Julie Bromley; John Olson; Sally Hed Dahlquist; Beth Luther; Swen Cooray; Laura DeJong; Bob Dike; Bo Bondy. Bo – Nights Out – November 18 at the Narrows with the band Soul Tight Committee, 7pm, but come as early as you can as they don’t take reservations. In December, we have the holiday party on Dec 2 at Mainstreets in Hopkins, the lights bus tour on Dec 9th with Wayne and Randy; so we’ll go to Punch Bowl in the West End on December 16. Proposing a new place for January, The Yankee Tavern https://www.theyankeetavern.com/ off Hwy 13 and Yankee Doodle Road, they don’t take reservations. Bo also mentioned Birches on The Lake which may be too spendy but possibly for spring or summer. Beth – Kick off party – thanks to everyone who helped! It was a great dance party. Private party with a live band. We had some amazing prizes (and some lame ones) and lots of them! Beth will hand-write thank you notes to all sponsors and Denny Cunningham for being the emcee. Steve Palmer did a great job with the food, and we actually had lots of extras this year! 73 attendees; 9 new members; we collected about $1100 for memberships. Membership renewal ideally by end of October, which trickle in Nov-January; and summer memberships, and an older group that don’t ski anymore (pickleball!). Switching to year-round members is too much management using our current system. Getting automatically online would be easier. About 194 members in 2016. We collected about $1200 in entry fees. Our target was to spend about $2400 on the party (which is the amount we used to spend generating the newsletter). Band was $650 and food was $1500 which were both more money this year, so we spent about $900 extra from the general fund for the cost of the party. Should the budget for this event be closer to break-even? What should we do differently next year? Get feedback; should we keep it at Lost Spur? Keep the same format with food and a band? Maybe get a cheaper or free band? Legally the club has to charge a membership fee to maintain Sitzmark’s status as a non-profit 501c7 sports club organization. This status gives the club members access to travel discounts and exclusive offers for members-only. It gives the club it’s exclusivity as a private group and where most people see the benefit of being a member. We will continue to require membership for trips and host some events for members-only. Other events will be open to non-members, like tennis and bike Meetups, which bring in new members and help pay for court fees. All Bikers must sign waivers. Keep most events open to encourage new memberships and people to help volunteer to help run trips and activities. Bo said it feels like the club hasn’t had an election in years. We’ve switched to on-line voting, so we must get the word out better for the March election results. Based on the forms, people requested trip ideas are Argentina (August), Verbier Switzerland, Australia (January-March), and Croatia (summer). Also want China Great Wall and Xian warriors, Galapagos, Safari in South Africa. Winter Carnival was switched to Jan 7. We have 6 signed up so far and more people say they’re coming; we changed the date and is early for sign ups, and people are waiting to sign up. We must send a check to Gary Heaser. Bryan Stadtler has a tentative itinerary. Chris Mickman wants it promoted more. Dennis Sherwood gets back on 23rd and will send out flyers. Sally will put in her emails for WM and Spirit Mt. Swen - no Nov tennis. We will start indoor tennis in December at 98th Street Lifetime. Will be in Dec-Jan-Feb-Mar and need to set the dates. Peter might do pickleball again this winter. Sally - Signups for Warren Movie are just now starting to come in – Movie is Oct 28; No one’s officially signed up for Spirit Mt yet. Both need more promos. Will also include WC in the emails. Spirit Mt was pushed back a week to Jan 13 as MC was rescheduled to Jan 7, but this has become a problem. Having it on Jan 13 means it’s during MLK, a 3-day holiday weekend. Spirit Mt is hosting the Atmore cup collegiate ski race so 4 hills will be closed for the race and practice; and we got moved to the Slopeside Room, which is twice as much money as the Fireside Room. Lift tickets are more money this year. Bus was same price. Board suggested and approved switching it to the 3rd weekend of Jan 20 and moving the Meet and Ski to Jan 13. Beth says she’s going to Spirit Mt for sure; it’s “Such a fun trip! I love that trip!” John - for next ski season suggests Crested Butte; it’s cold, so end of February. What about Banff? Easy to get around, inexpensive, fun town, lots of places to ski, lots of excursions. Where do we want to go? John says Dennis’s revised budget for Norway looks fine. 47 currently signed up – bigger than expected; limited by bus and hotels. Reserved extra hotel rooms to accommodate the extra sign ups. We got an unprecedented positive response to this trip! We got 44 checks in 11 days and decided that all attendees have to be a member of Sitzmark and they got priority (not simply an MSC club). There is a waiting list. Laura – the club is quite solvent and performing financially as usual; no surprises. We must make payments to the France trip, Brie Le Bon (18 signed up so far; need 2 more!). Sally changed her address, so US Bank changed Sitzmark’s address – to be corrected. Treasurer will provide a detailed report next month. Bob – some members asked for a club meeting, like once a month. What would they like to see? Agenda? Like board meeting or the picnic? Promote the parties as Holiday Party & Club Meeting. Promote the board meetings to all members, invite them more obviously. Concerned about time; have full agenda; still want to keep board meeting to 1-1.5 hours. Julie will keep it moving along! We need help, more volunteers! RedEye says that since MSC stopped printing the paper, they feel it’s decreased participation in events. Decreased from 4 to 3 issues. Now as PDF. Not as tangible as paper on your fridge. Try a postcard? Sally asked if we should try a postcard? John seconded it. If Sally puts together a postcard of upcoming events and dates, Sitzmark will pay for postage. Sitzmark Board meeting September 18, 2017: Attendees Beth Luther, John Olson, Susan Spannus, Bo Bondy, Dennis Sherwood, Hal Yngve, Peter Leuthold, Bob Dike, Julie Bromley, Laura De Jong Lexmond, Steve Palmer. Julie moved to accept the August 14, 2017 meeting minutes Bob seconded it. Motion passed. Deb Asmussen agreed to keep helping post events to the Sitzmark Meet-Up site. Beth Luther, Membership coordinator, reports on the Kick-Off Party. It is 7:00 PM Friday October 13 at the Lost Spur Country Club at 2750 Sibley Memorial Hwy, Egan, MN 55121 651-454-5681. John Olson motioned for $1500 food budget with an option to go over by $300 if needed. Please include staggered food staging. $15 members. Julie seconded. Some discussion with Steve Palmer volunteering to help. Motion passed. Band already booked and paid. Prize donations coming in from Wild Mountain, Welch Village, Tonka Cycle and Ski, Hi Tempo, Penn Cycle, and Gear West. We have some various small items to give away. Deb Asmussen posted details on Meet-Up. Beth Luther opened discussion on Winter Carnival to be held this year at Indianhead Michigan Jan. 5-7, 2018. Susan Spannus opened discussion on our Holiday party to be held at Hopkins Mainstreet. Saturday December 2 7:00 PM. $15 members, $20 nonmembers. Planning a bike ride for September 30. St. Bonnie to New Germany. Dennis Sherwood reports the Utah trip was a success with a very small profit of about $10. We all had a good time. The Norway trip sold out in about 2 weeks. ~44 attending. Bob Dike reports the MSC Meeting to be held September 19. Please have your articles ready early for the Sportster. Please include trips, activities, special events. And to post events on our MSC Website. Sitzmark elections are held April 1, 2018. Please consider volunteering to help your Club Sitzmark continue it’s fine tradition of being one of the best Ski Clubs in the Upper Midwest. Peter Leuthold report outdoor tennis and pickle-ball seasons are winding down. Indoor tennis this year should be at the Bloomington Lifetime Fitness. Laura DeJong gave the Treasurer’s report. Bo Bondy gave the TGIF Coordinator report. September is near Stillwater at the Gasthaus Bavarian Hunter restaurant. The Warren Miller Movie is Friday October 27. Tickets available now. Nights out suggested at Punch Bowl for December. The Narrows for November. Comedy Show in January and Crooners in Feb. Julie reports our France trip is coming up in February 9, 2018 for 10 days. Fiscal year closes end of May at which time taxes are due! Laura will make arrangements for the Accountant. Dennis, • Calendar has been updated and will be sent out in the future. • Updates were sent out for April • Web program “Wild Apricot” – We will be checking on the cost and Dennis has a contact who can customize it for SitzmarkMN.org! • Sven is doing Tuesday – Wednesday Kennedy, Thursday Pickelball and Friday Tennis Hopkins. Bob will check on a driving range event cost and dates. July 22 is Un-camping weekend at Lutsen. Picnic is July 30. Susan Spannus is hosting - Cannon Valley Trail bike ride -- Dennis Sherwood - MSC asking for Sportster news. Utah and Norway submitter to Alice. So far, we have 11 signed up for Utah. The councils bring exposure for all the clubs to each other. It pulls many ski groups together. You can pool your advertising dollars. Minnesota has a wide range of clubs geographically. The MSC Winter Carnival is very popular. John Olson - January 25 – Feb 3rd 2018 Breckenridge Intra council event. Jan 6th MSC winter carnival. Jan 6th Spirit Mountain Trip. Sitzmark needs to pay $500 as a retainer to get the contract and get it signed. The travel operator for it is Sports America Sally Hed – Will host with Nancy Peterson of Traverski - Spirit Mtn day trip will be the 13th January 2018 Brian Stadler will host - Jan 5-7, 2018 MSC Winter Carnival John Olson - 27 January 2018 will be Meet n ski at Welch Dennis Sherwood - Kick-Off Party Friday October 13, 2017. Room and band are reserved to be held at the Lost Spur. Dennis Sherwood – Hosting Vine Park Brewery – Beer making event on Wednesday 21 June – each person gets 24 bottles of beer – 6 kettles with 3 people per kettle. Bob Dike mentioned on May 29, 2017 is the Spring Fling. John Olson mentioned skiing in Japan at the Kyoto Cherry Blossom during March 2018. Julie mentioned the NSC is pushing Japanese trips. Board minutes 18 April 2016 Attendees: Dennis Sherwood, Bob Dike, Peter Leuthold, Beth Luther, Julie Bromley, John Olson, Laura DeJong, Hal Yngve, and Bo Bondy. Laura gave Treasurer's report. Winter Tennis and Whitefish trips came out in the black. That's good for Sitzmark. Fiscal year closes end of May at which time taxes are due! Peter Leuthold, T-Th summer tennis already started. Wednesday tennis starts in May when the weather gets warmer. Kennedy. Summer pickle ball needs a new location due to renovations. Looking into Sitzmark Summer Golf? Julie Bromley and John Olson attended MTS. Overall, clubs report the newsletter is important. Can we please pass out our hand printed advertisements at events? It depends on the event who is available to recruit for new memberships? There is a natural ebb and flow of members. We are talking about web design, calendar and newsletter (2-pager) for better commnication. We need some help with these tasks. Volunteers?!! Dennis and Bob will look for web development volunteers. The travel show in May wasn’t getting any new business for Paul Weber group and therefore, is cancelled. Let’s get some flyers published to hand out for new members. Let’s promote membership at Randy’s golf event. Other thoughts and comments are invited. Summer picnic is a good event with members only and discounted membership! The Stillwater Cruise on the St. Croix is a good meeting place. Bo Bondy reports our summer cruise is great. This year it is $34.95 for the event. That way, we don’t need to book our own boat or catering. The Lake Minnetonka is $46.95 each. Susan and Bo are thinking about the Poker Run trip. It is a Stillwater pub crawl. April 22 is The Lookout in Maple Grove, May 13 night out at Loui’s, top floor of Cosetta’s. June 17th Lord Fletchers. July 15 St. Croix Cruise. August 12 Maynard’s in Excelsior. July 22 is Un-camping weekend at Lutsen. Picnic is July 30. Let’s do a Cannon Valley Trail bike ride one of these Saturdays. Lookout should be good this Saturday April 22.
